How to Set Up a Zoom Meeting


Like most companies, Bell Family is moving all interviews to Zoom for the time being. We have outlined questions below that will help answer anything you need to know beforehand to make the process as simple as possible.

Q: How do I set up a Zoom account?

A: Simply click here to sign up for free, and download to your phone, tablet or computer.

Q: Do I need to have a Zoom account for my virtual interview with the agency?

A: Nope! You do not need to create an account to join the meeting, but you will need to have Zoom downloaded on your computer or phone.

Q: How will I know how to join the Zoom interview?

A: You will receive an email from the agency a few minutes before your interview. All you need to do is click on that link. If you are more than 5 minutes late we will cancel the interview.

Q: What documents do I need to have prepared prior to my interview?

A: A list of required documents is in the interview confirmation email. You may email us if you have any questions.

Q: How do I submit the required documents that the agency requires?

A: Simply upload all documents directly to your profile (instructions are in the interview confirmation email). If you have any issues uploading anything, just email us and we will help you or have you text or email us the documents. 

Q: How will I know what day and time my Zoom interview is with the agency?

A: You will receive a confirmation via email from the agency with the date and time of your interview. This email will also explain everything in detail. If you have any additional questions, simply email us back and we will help you!

Q: How long will the interview be?

A: The interview will be no more than 40 minutes. We will try to keep it at 30 minutes. You will have up to 5 minutes to join; please join the Zoom meeting per the email instructions sent at the scheduled time.

My Childcare Agency Is Open, Why Are Decision Makers’ Minds Closed?

Care taking has been ingrained in me since I was a child. I became a big sister when I was one and have been a caretaker ever since. From my early teens through my twenties, I babysat for everyone I could – and I loved it. That is why I started my childcare placement agency Bell Family Company, 10 years ago in New York City.

Now, I am a mother of two boys under four years old and run my small business from my home. Like many moms, I am juggling my day-job with ‘daycare and school’ for my children in our “new normal” resulting from the COVID-19 pandemic.

Every day there is a new article about how working from home with children is an impossible task. There is, “As Companies Reopen, Employees Scramble to Find Child Care” and “If America Doesn’t Invest in Childcare, Who Will Watch Our Kids When We Go Back to Work?” Reliable and flexible childcare was necessary before this pandemic struck, now it’s proven to be imperative.

While my agency concentrates on the tri-state area, there are agencies all over the United States that can assist employers big and small in referring help. There is not a one-size fits all approach, so a variety of service options must be available to working parents. This is a vital benefit, and employers and the government must step in to help.

In my endless attempts to reach out to employers big and small to educate them on our services and how we can help, the story is the same. I usually speak with a woman in Human Resources and she gets it immediately. Then the conversation begins to breakdown;
“It will be tough to get past the board”, or “There is too much red tape or liability involved”, blah blah blah … nothing gets done. And here we are, amidst a global pandemic in a country that is supposed to thrive on innovation, entrepreneurship and the American dream; and the problem is what do we do with our kids?

Employers and/or the government need to build a committee or board full of employees that are parents. The committee needs to come up with a list of agencies and other resources to refer to their families. Employers and the government need to then build a benefits program or package including ways that the company will help the parent (i.e., provide reimbursement on childcare hours).

The business community and government must work together to put forth viable solutions that support American families. If employers truly care about their employees and want to retain top talent, then they must offer modern-day caretaker policies that are flexible, reliable and affordable. If governments want thriving families and a strong economy, they must act as well.

We hope that you will support this small business during this difficult time, and book a Virtual Sitter for an hour or two to help with the kids. Virtual Sitter rates are $23 per hour for 1 child, and $25 for 2 children (for 3+ children please inquire about rates). The booking minimum is one hour, but the hour can be split into 30-minute sessions (i.e., 30-min morning session and 30-min afternoon session the same day). Bell Family Company’s Unique Vetting Process

Bell Family Company takes pride in providing the best childcare providers in the business. Each childcare provider on our team has been carefully selected through our unique screening process, where they are 1) directly referred by someone we know or recruited from one of our trusted sources, 2) college educated, working professionals, students or career childcare professionals, and 3) prescreened through an extensive online application (it is over 60 questions).

Our recruitment team reads through each application and then does a preliminary interview over the phone. Once the candidate passes through the preliminary, then he/she is scheduled for an in person (Facetime for non-local candidates) interview.

At the in person interview, the candidate completes a Nanny Assessment Test that examines both their emotional and psychological responses/answers to each question. The test is graded according to our standards. Each candidate must pass, and if they do not they are not accepted.

Then, the candidate meets a member of our Nanny Services Team to complete the interview and work history form, which includes names of all employers, their address, phone number and information about the job (ages of children, schedule, what they did at the job, etc.).

Our team member and the candidate then review their resume and the candidate provides proper legal documentation (two forms) along with a photo. Each candidate completes and passes a national background check, which we subsidize to bring cost down for them.

Next, we complete a social media screening and three of their references are called via phone by our team member who was an educator for 30 years. Each reference must be a childcare reference and pass through acceptable criteria set by our Agency.

Upon completion, the nanny candidate is accepted to our Agency and is in communication with our team about jobs that are a fit for them. Each candidate has the opportunity to attend our bi-annual CPR and First Aid Training, as well as receive on-going coaching, prepping and check ins to stay up to date on all childcare information.

We continually review the candidates’ profile based on family feedback and their communication with us. We only work with the best nannies in the business. If a nanny does not pass through our Agency’s criteria or proves to not be a fit for our Agency based on our team’s or family’s feedback, we will remove that candidate from our Agency.

The Best Childcare Advice

What’s the best childcare advice? To not feel bad about taking care of yourself!

This mom guilt thing has to be better managed and supported. Aim to find someone that you can confide in! My mom gives the best advice on everything.

Look to get some type of help immediately post baby. My mom spent the first month with me when I gave birth – she acted as my baby nurse. I think every mom needs to have a parent, assistant, sitter, or baby nurse there for the first four weeks. It doesn’t have to be around the clock, or expensive. Especially if you are working or have other kids running around.

Here are some benefits:

1. Helps you recover faster and heal
2. Helps provide support and help with the baby
3. Makes you feel taken care of and gives you someone to talk to if you have questions

Don’t wait! Try to get the process of searching for someone started early to save on stress. And don’t forget to do your research. Some moms could change everything once the baby arrives.

If you get a direct referral it’s much easier. Typically, if the referral is an excellent sitter, or a great judge of character, they will refer someone just as great. Try using an agency or a group of some sort (HINT: Bell Family Company)! If you don’t, you’ll be running your own company (sourcing, vetting, checking references, etc.). Groups or companies know all the rules, and have staff to vet through all of those things for you.

Golden rule: Treat others as you want to be treated. I think this is more important than ever for both the nanny and family. It’s amazing how a nanny that is given a coffee in the morning from her family will be more than willing to take the dog out for an extra walk, or how the family that lets the nanny leave early because she baked cookies for the family for their party that night.
